BERNEXPO, a leading trade fair organiser in Switzerland, has set itself the goal of constantly optimising its trade fair processes and increasing efficiency. In the area of logistics, it relies on the TransITfair trade fair software from gts.
BERNEXPO is known for its own and guest exhibitions, which take place annually at its location in Bern. With 30 own and guest exhibitions, over 300 events and congresses and a total area of 41,000 square metres spread over six exhibition halls, BERNEXPO offers a wide range of topics, including holidays & leisure, industry & technology, interior & design and education & industry.
Challenges in trade fair planning.
A recurring problem during the set-up and dismantling phases of the events was the traffic jams that occurred in the morning when all participants arrived at the site at the same time. To avoid this bottleneck problem, a solution had to be found that would optimise logistics and capacity utilisation and ensure a smooth process.
But the challenges of trade fair planning are not just limited to the construction and dismantling phases - the coordination of access routes is a key concern for BERNEXPO throughout the year.
Solution with TransITfair.
In collaboration with gts, the collaboration software TransITfair is now being used to overcome these problems. As an all-rounder, the system helps with all important aspects of trade fair planning: firstly, it provides a slot booking system that enables participants to book specific time slots for their arrival. For example, if a slot is booked at 9 a.m., the system automatically checks whether there is sufficient space in the logistics area and allocates the appropriate vehicle. This innovative approach enables efficient use of resources and reduces traffic congestion.
Secondly, TransITfair provides efficient forklift management, in which the system systematically synchronises forklifts, trucks and parking spaces in order to seamlessly coordinate material movements.
Packaging material and other empties must also be stored safely and efficiently after assembly. Empties management is used to define the storage locations for packaging materials in order to optimise the entire logistics process. In addition, an integrated payment module facilitates the processing and booking of the required resources.
As an all-rounder, TransITfair acts as a link between the front end, the website and BERNEXPO's ERP system to ensure a smooth flow of information and seamless integration.
The result.
BERNEXPO has successfully implemented the system to handle several major events. Tom Winter, CEO of BERNEXPO, explains the reasons for the collaboration:
‘BERNEXPO decided to work with gts and implement TransITfair because we were looking for an efficient solution to overcome the challenges we face during the trade fair set-up phase. TransITfair not only offers an innovative solution to our logistics problems, but also enables us to optimise the overall trade fair set-up and offer our customers an even better experience. In addition to the obvious optimisation of the actual trade fair logistics, we are seeing positive side effects in terms of the impact on the surrounding traffic network and safety for all partners and employees involved.’
